Membership Disclosure Statement

Article 1. What does membership include?

a. First, create a Gateway College Alumni Association portal account. You can then submit your membership application and complete the payment. Your application will be reviewed by the Gateway College Alumni Association staff before your membership is approved.

b. Membership includes concessions on entrance fees for Gateway Alumni activities unless stated otherwise. In those cases, we refer to the terms and conditions of the event itself.

c. For all other membership related benefits please refer to the membership benefits listed within the Gateway College Alumni Association portal.

Article 2. Membership fee

a. The membership fee will be as follows

  • Lifetime Membership – LKR 3,000

b. The membership fee is a one-off payment for a lifetime membership.

c. The membership fee is paid securely using a credit or debit card. By accepting these Terms and Conditions and completing the payment, you authorize the applicable membership fee to be charged to your selected card.

Article 3. Modification of membership details

a. Members are responsible for ensuring that their membership information remains accurate and up to date. Any changes to personal or membership details must be submitted through the "Inform Membership Details Change" feature available in the Gateway College Alumni Association portal. Submitted changes will be reviewed and updated by the Gateway College Alumni Association where applicable.

Article 4. Qualification for membership

a. Past pupils who have completed their Advanced Level or SACE or Ordinary Level or IGCSE at Gateway College.

b. Any past pupil who has studied at Gateway College for more than two years.

Article 5. Privacy

a. The Gateway College Alumni Association shall hold members' personal data in trust and shall use such data solely for the purposes of administering membership and conducting Association activities.

b. Member data held on the Gateway College Alumni Association portal shall be managed in accordance with applicable privacy laws and shall not be shared with third parties without the member's consent, except where required by law..

c. Members have the right to request access to, correction of, or deletion of their personal data held by the Gateway College Alumni Association. Such requests may be submitted through the Gateway College Alumni Association portal or by contacting the Association via email to alumni@gateway.lk.

Article 6. Cancellation of the membership

a. Any member has the right to have their name deleted from the membership database at any time.

b. The membership can be cancelled by the member by sending an email to alumni@gateway.lk of the Gateway Alumni. Your membership is only cancelled after the Gateway Alumni has confirmed the cancellation.

c. Membership can be terminated by the Gateway College Alumni Association at any time. This can happen due to reasons of misconduct, or conduct that brings discredit to the Association or the College as laid out in the Association's constitution..

d. There shall be no refund of any part of fees already paid.

Article 7. Responsibility

a. The Gateway Alumni cannot be held responsible for theft, injuries, damages, or any other inconveniences that might occur during one of our events.

b. All members are expected to adhere to Gateway College code of conduct whilst participating at events organised at school premises.

Additional Terms & Conditions

  1. Any disruptive behaviour on school premises or alumni organised events will not be tolerated.

  2. If any vandalism or damage to equipment on school premises or at any alumni organised event occurs, persons responsible will be held liable to pay for damages.

Article 8. Payment

Lifetime membership –

  • All memberships are payable in advance. Once paid in full, membership remains active for life of member with no further payments or dues increases.

  • Payments will be charged in Sri Lankan Rupees and paid securely using a credit or debit card through the internet payment gateway (PayHere).

  • The internet payment gateway is not a part of Gateway College or has any connection with the Gateway College Alumni Association.

Article 9. Refund Policy

We operate through a pre-payment policy. Once payment of membership is made online and a member application is approved, their membership becomes active.

All payments are non-refundable

Article 10. Privacy Policy

The Gateway College Alumni respects and is committed to protecting your privacy. We may collect personally identifiable information when you visit our site. We also automatically receive and record information on our server logs from your browser including your IP address, cookie information and the page(s) you visited. We will not sell your personal identifiable information to anyone.

All member information is and will remain confidential. However, member information will be shared with Gateway College as and when necessary.

We may provide your information to law enforcement agencies as required by court order.

Article 11. Use of school sports facilities

Gateway College Alumni Association members with an active membership can request and receive permission to use the College sports facilities. The complete control of school buildings and equipment is, vested in the Board of Directors and the administration of the rules and regulations governing the buildings is delegated to the Director of the College. The terms and conditions laid out below for the use of these facilities apply to all use of the said facilities across any branch.

Terms and Conditions of Use

a. Facilities can be booked via an online request system.

b. There are certain restrictions upon the use of school property and the building. The user is solely responsible for the fulfillment of the regulations of the following:

  • Local Safety

  • Local Fire Laws

  • Local Police Laws

c. There is to be no smoking in the buildings or on the grounds of the Gateway College in accordance with the Gateway College No Smoking Policy.

d. The Member must be present throughout the time the facilities are being used. The Member is responsible for the decorum of the group, including spectators.

e. When minors are using a facility, they are required to have adult supervision on a 1 to 15 ratio basis.

f. Alcoholic beverages are strictly not allowed on any College premises unless approved by the Director.

g. Food and/or beverages are only permitted in cafeterias/all-purpose rooms. Eating or drinking in auditoriums, classrooms or gymnasiums is not permitted.

h. Any damages sustained to the facility and/or equipment during its use will be considered the responsibility of the Member/s using the facilities. The relevant Member/s will be billed for any repairs needed to restore the facility and/or equipment to its original state.

i. No electrical apparatus shall be connected to any system unless it has been approved by the facilities manager or the auditorium manager (as appropriate).

j. In all cases where gymnasiums are used for athletic purposes, participants are required to wear athletic shoes.

k. Entrance to the property shall be permitted ONLY via the main (front) doors of the school in use. All doors to the facility shall remain LOCKED at all times, except those custodial personnel shall unlock main entry doors for entrance by authorized persons as scheduled (fifteen minutes before and after scheduled start). Corridors/facility shall be unlocked as necessary to accommodate persons while in the building.

l. Access to facility will be available only as indicated on the approved online request.

m. Equipment of the building, may not be moved into or out of the building.

n. The Member must satisfy the office of the Director of Facilities that the person designated by them to operate the lighting, curtains, drops, scenery, etc. is qualified to do so. In the absence of such a person, a custodian shall be engaged to operate them.

o. It is the policy of Gateway College not to loan school materials and equipment to anyone whatsoever.

p. All fire lanes shall be accessible at all school buildings. This will be enforced by the Gateway College Security Department and violators are subject to being ticketed or towed.

q. There shall be no parking or driving on any school property except as specified by the guards or police officer on duty and approved by Gateway College.

r. All activities MUST be completed and the premises vacated by 9.30 p.m.

Clean-Up

a. Members are responsible to make sure the facilities are kept clean during their use and after their use.

b. Gateway College will not be responsible for any material left behind.

c. Cleaning costs will be charged to the member if the facilities are left unclean.

Miscellaneous

a. Housekeepers, maintenance staff and/or security guards on duty shall be responsible for the supervision of the building and equipment, safety precautions in the building, cleaning of the building after its use, and for any services required by the Member in accordance with the use of the facilities approved.

b. On days when school has been cancelled because of emergency conditions, the school buildings may not be available. However, all scheduled use will automatically be cancelled unless the Member contacts the College being used to confirm the availability of the school.

c. Utility costs which are required beyond the usual day may be charged.

d. All questions concerning building use and particulars should be directed to the College.

Article 12. Alumni directory

a. The Gateway College Alumni Association will operate an alumni directory to help members connect with one another. This will be made available through the Alumni portal in the future.

b. The directory may display information you provide such as your name, batch year, school branch, country of residence, and work or study details (including job title, employer, or university information where applicable). Sensitive information such as your NIC or passport, full residential address, and private contact details will not be published in the directory.

c. You may withdraw directory consent at any time by emailing alumni@gateway.lk. Withdrawal will be processed within a reasonable time; information already shared with other portal members before withdrawal may not be retrievable.

d. The Association may revise directory scope and visibility rules; material changes will be reflected in these policies.

Article 13. Events and alumni communications

a. The Gateway College Alumni Association may send you invitations, newsletters, event updates, reminders, and other alumni communications by email, WhatsApp, or other contact details you provide.

b. You may withdraw consent for these at any time by emailing alumni@gateway.lk or using unsubscribe instructions in a message where provided.

d. Transactional messages relating to your application, payment, membership status, or account security may still be sent without separate marketing consent.

Membership application — agreement and consents

When you submit a membership application through the alumni portal, you must confirm that:

  1. You agree to these Terms & Conditions and the membership policies linked from the application form.

  2. All information you submit is truthful and accurate.

Submitting your application constitutes agreement to the required terms above. Optional consents apply only if you tick the corresponding boxes on the confirmation step.
